What you will be responsible for
The work is grouped by function so candidates can understand both the daily tasks and the wider organisational responsibility.
Office operations and administration
- Lead and manage the day-to-day administrative operations of the Casa Vida Human Resources office
- Prepare official correspondence, reports, meeting agendas, minutes, contracts, and other organisational documents
- Maintain organised filing systems, personnel files, and confidential organisational records
- Coordinate office logistics, procurement, inventories, office supplies, and equipment maintenance
Recruitment and staff administration
- Support recruitment processes, including advertising vacancies, screening applications, scheduling interviews, conducting reference checks, and onboarding
- Prepare employment contracts, personnel documentation, orientation materials, and HR correspondence
- Maintain staff attendance records, leave management systems, and employee databases
- Organise and support staff performance appraisal processes and learning and development activities
Policy, safeguarding and compliance
- Lead the implementation of HR policies, safeguarding procedures, and the staff code of conduct
- Ensure compliance with Casa Vida policies, donor requirements, safeguarding standards, and Timor-Leste labour legislation
- Promote a healthy, respectful, and collaborative workplace culture
Organisational coordination
- Provide administrative support for project implementation, financial documentation, and procurement
- Liaise professionally with government institutions, donors, partners, consultants, and suppliers
- Work closely with the Executive Director and management team to strengthen organisational systems
- Support the implementation of Casa Vida's Strategic Plan
